Import Contacts and Addresses by CSV file [05-0101]
Have you got lots of contacts and addresses? Do you know your way around a CSV file?
If the answer to both questions is ‘YES’ then uploading your existing contacts and addresses into CertSuite can be straightforward.
To do this you need to create a CSV file – Excel spreadsheets are ideal for this and there is a downloadable template here.
- The file needs to have 21 columns, with the following headers:
- First Name / Last Name / Position / Email / Telephone / Mobile / Fax Number / Trading Title / Address1 / Address2 / Address3 / Town / County / Postcode / Country / Enrol No. / Branch No. / UKAS Reg. / UPRN / Status code / Group name
- Columns can be left blank, but they must not be deleted. For example, 'Group name': it must be present, even if it is left blank, since it allows you to group your users, jobs, circuit templates, test instruments and contacts, etc., and is a great way of managing your data. If you want to use Groups, please talk to us.
- ‘Status code’ needs to be set to ‘A’ for add, or ‘D’ for delete: this allows you to add and delete addresses by means of a CSV file.
- The UPRN values must all be different (the ‘U’ stands for 'unique'), and the downloadable template file stops you putting duplicates in this column. If two UPRN values are the same, then the later entry will overwrite the earlier one, and you will lose data.
Note that:
- You can add your address and contact details all in one go. Or you can do it in stages. So one big CSV file, or a series of smaller ones.
- And you can resend CSV files as many times as you want, with updated data, if you need to make additions or corrections.
- You can upload CSV files yourself: go to 'Admin' > 'Account Management' > 'Import Data' > 'Import addresses from CSV file' and then click 'Choose file'.

Note that CSV uploads make it possible to add hundreds, even thousands, of addresses and contacts to your account, and they allow you to make global changes really easily if you need to.
