Add signatures and logos to certificates and reports [01-0206]

Add company address and logos:

  • You can add your company address and logo and your accreditation logo to CertSuite, so that they can appear on your certificates and reports.  To do this:
    • Go to the ‘Admin’ tab
    • Choose ‘Account Management’ from the drop down
    • Select ‘Company Profile’ from the side menu
  • On the ‘Company Profile’ page, fill in your company details, and upload your company logo and accreditation body logo (see articles on uploading company logos, accreditation body logos)
  • You can also set your ‘Company Colour for Certificates’ on this page
  • And you can choose whether to use 100% or 80% for calculating ‘Max Zs Scale’
  • And you can choose whether to use 'Strict Signing' or not

Add signatures:

  • Each user can upload an image of their own signature
  • To do this, go to the ‘Admin’ tab and choose ‘My Profile’
  • Here you can:
    • Change your ‘Password’ and ‘Contact Details’
    • Set your ‘Position’ within your company
    • Upload an image file of your signature (see article on uploading signatures)
  • To get your signature to appear on a report or a certificate, you must select yourself as an ‘Inspector’ or an ‘Authoriser’ for that job:
    • Open the Job and navigate to 'Inspector Details' and/or 'Authoriser Details'
    • At 'Inspector Name' / 'Authoriser' click the 'Choose Me' button
    • Your signature will now appear on the report/certificate
  • When you preview your report or certificate, you can choose whether to view it with, or without, signatures:
    • If you preview from the ‘Reports’ button at the top of the web page and select the 'full' report option, you will see a pop-up inviting you to 'Add signatures to report' - check this box
    • If you preview from the side menu, you can check the box 'Add signatures to report'

Note that:

  • The Inspector’s signature and the Authoriser’s signature that appear on a certificate are the ones linked to the Inspector and Authoriser selected for that job
  • By default the address, accreditation details and logos that appear on the Cover Page of a certificate are the ones in the ‘Company Profile’
    • However, if the Inspector for the job has entered their own address/logos under ‘My Profile’ (by clicking the button 'Show Optional Details'), then these personal details will appear instead of the company details
  • Only users with the ‘CertificateSignOff’ role (i.e. a QS) can preview and print a certificate with signatures
  • All other users will see 'Draft' watermarked on any certificates that they preview: and the word ‘Draft’ will appear where the signatures would normally be
  • If the optional 'Strict Signing' feature is enabled, the signature of the Inspector / Authoriser (etc.) can only be added after they have consented by ticking a checkbox: this gives them greater control over the data that they sign-off

To recap:

  1. Each user can add their signature to CertSuite in their ‘My Profile’ page
  2. Each user can add themselves to a job as the Inspector and/or the Authoriser
  3. But only a QS level user (i.e. with ‘CertificateSignOff’ role) can preview and print a certificate that displays signatures
  4. An Inspector / Authoriser can choose whether or not to add their signature
