Managing Workflow [03-0202]
Whether you are a sole trader, or a large company, CertSuite workflow helps you manage your lists, and keep tabs on your jobs.
There are 4 job lists in CertSuite:
- 'Current Jobs' - where all new and current jobs appear
- 'Jobs for Approval' - where you keep jobs that are waiting to be signed off
- 'Approved Jobs' - where you keep jobs that have been signed off, but aren't yet ready to be archived
- 'Archived Jobs' - where you keep jobs that you want to archive
- Navigate between the four lists using the drop-down menu on the 'Current Jobs' button
- Note that in every list you can always copy a job, re-issue it, or change the job type
A typical job might (1) start in 'Current Jobs' (2) be moved to 'Jobs for Approval' when it is ready to be signed off (3) be moved to 'Approved Jobs' once it has been signed off and (4) go to 'Archived Jobs' once it has been completed
To send a job to 'Jobs for Approval'
- In the 'Current Jobs' table, go to the blue 'Actions' button (last column on the right)
- Select 'Send for Approval'
- The job in question will move to the 'Jobs for Approval' list
- It will no longer be in 'Current Jobs', but if you want to restore it to there just go to 'Jobs for Approval' and then select 'Restore' using the blue 'Actions' button
To send a job to the 'Approved Jobs' list
- Once a job has been signed off you may want to move it to the 'Approved Jobs' list
- To do this, go to 'Jobs for Approval' and select 'Approved' using the blue 'Actions' button
- The job will move to the 'Approved Jobs' list
To send a job to the 'Archived Jobs' list
- Jobs can be archived directly from the 'Current Jobs' list
- And they can also be archived from the 'Approved Jobs' list
- Just find the job in question, and select 'Archive' using the 'Actions' button
- The job will be moved to the 'Archived Jobs' list
To restore a job to the 'Current Jobs' list
- Jobs can be restored to the 'Current Jobs' list from any of the other lists, at any time
- They can also be copied, and re-issued, and the job type can be changed, from any list
- Jobs can also be opened in any list - except 'Archived Jobs'
Note that for multi-user accounts, only users in the 'Certificate Sign Off' role can add signatures to printed reports, and edit jobs in 'Jobs for Approval' and 'Approved Jobs'.
